Solution 1: Uncheck the Calculated Check box for the relevant Payroll Field

  • Go to the Maintain menu
  • Choose Default Information
  • Click on the Employees tab
  • The Employee Defaults window will be displayed on your screen
  • Now click on Employee fields 
  • Uncheck the Calculated check box for the relevant payroll field that uses the calculation appearing in the error message
  • Please Note – You will need to remember this while resetting the calculation after the 941 forms are printed successfully
  • If the issue is still not resolved, go to the Maintain menu. 
  • Select Employees/Sales Reps 
  • The Maintain Employees/Sales Reps window will be displayed on your screen
  • Enter/select each employee ID 
  • Click on the Employee Fields tab
  • Locate employees for which the Use Defaults check box is left unmarked for the particular payroll field related to the calculation mentioned in the error message
  • Uncheck the Calculated check box
  • Please Note – You will need to remember this while resetting the calculation after the 941 forms are printed successfully
  • Check if the issue is resolved by now.

Solution 2: The Maintain Employees/Sales Reps Window

This remedy will help if the issue is caused due to mistakes by the sales representative.

  • Go to the Maintain Employees/Sales Reps window
  • Select all sales representatives 
  • Change the record to Employee
  • Type in the State/Locality (W-2 ID) code in the Withholding Information table corresponding to the error in the relevant State/Locality field. 
  • Next, modify the employee record back to the sales representative 
  • Click on save

Here are the steps to do so –

  • Close the Sage application 
  • Open Internet Explorer 
  • Download the payroll update from your preferred websites
  • Click Run 
  • The installation of the updates will continue
  • Open the company file 
  • Choose the preferred Payroll Tax Form
  • The Forms Update window will appear on your screen
  • Selects the Automatic Update button 
  • Follow the instructions carefully
  • Check if the Tax Form 941 is opening properly now

Solution 4: Check the Compatibility of Sage 50 with Windows 8.0 or 8.1
