The Cleared Transactions

We usually add a cleared check mark on all the transactions that are imported from a bank feed or bank statement. This states that the transaction within the ProductName is on your bank statement and reflected within your bank balance. Once you delete a cleared transaction, you will be displayed a message to remind you to check your bank statement. This is because once you reconcile your bank account, the transaction might be different to what’s on your bank statement

Reconciled Transactions

Once the transaction has been reconciled, which is included on a finished bank reconciliation:

  • It is displayed on your bank reconciliation with a Removed from reconciliation status within the Corrected Transaction column, to tell you that it has now been deleted.
  • You will also discover the Starting Balance of your next bank reconciliation. Here, the Starting Balance is always the total value of all reconciled transactions, up to the statement date. We usually leave the deleted transactions out of this balance, thus updating the total every time you delete a reconciled transaction.

Usually one does not update the Reconciled Balance

Things to Consider Before Proceeding to Delete Transactions in Sage 50:

You should take care of the following to avoid any future issues-

  • Please ensure to take a proper backup of your business data
  • No work should be permitted in the work orders included in the Sage Batch Controller
  • The delivery notes visible in the Sage controller should be updated to invoicing.

Also please note the following before deleting any transaction in the Edit Register

  • You can delete a transaction using Cash Management only when it is posted in the Cash Management.
  • after deleting the transaction, the original accounting date can be used to reverse the entry
  • Avoid deleting Reconciled /Cleared Transaction as much as possible.
  • If you have entered any transaction through the Setup Assistant Process and the transaction is deleted, no reverse entry would be sent to the General ledger
  • If you delete the bank transfer, both sides of the transfer will get deleted with the relevant bank account.

Steps for Delete Transactions on Sage 50:

Please follow the steps below-

  • Navigate to the Task Menu
  • Click on Edit Register
  • Now, click to select the relevant bank account
  • Click Ok to proceed
  • Now, to delete a transaction, locate it in the row that is matching with the transaction
  • Click to select the transaction to delete
  • You will see a black arrow for this transaction
  • Right-click on it
  • Now click on the tab named Delete Row
  • A prompt will pop up. Click yes to delete

Please Note: If any journal entry is earmarked as Bank Transfer, make sure to delete the other side of the transfer from the bank account.

  • Select Finish
  • Click on the Start Button to print the journal or to save it as a file
  • You can post the reversing entries in Cash Management, with the General Ledger
  • Once the entries are deleted, you may need to delete the bank balances as well

Delete a Record or Transaction

In order to do so, you need to:

  • Launch the record or transaction within its maintenance or task window.
  • Next Select the Delete toolbar option to remove the record or transactions

In case the record comprises outstanding transactions associated with it, the user will not be allowed to delete the record. For instance , one cannot delete a customer if there are invoices that reference that customer.

In case the transaction comprises a “partner,” one cannot delete the transaction. For example, the user cannot delete a sales invoice in case a receipt has been applied to it. After you delete the receipt, you can now delete the invoice.

Delete Bank Transactions

In order to do so, you need to:

  • Launch the record or transaction within its maintenance or task window.
  • Next Select the Delete toolbar option to remove the record or transactions

In case the record has an outstanding transaction linked with it, you will not be allowed to delete the record. For instance, one cannot delete a customer if there are invoices that reference that customer.

In case the transaction comprises a “partner,” one cannot delete the transaction. For example, one cannot delete a sales invoice in case a receipt has been applied to it. After you delete the receipt, one can delete the invoice.

Delete Old Records

In order to do this, you need to:

  • Launch the relevant module 
  • Next select the records you wish to delete.
  • Now Click Delete then, to confirm deletion, click Yes.

Once you are done with deleting records it is  recommended that you take a backup and compress the relevant ledger.

Delete Customer and Supplier Records

The user can easily delete customer or supplier records in case they have no remaining balance, no transactions linked with the account and are not attached with a project.

  • In case the account has a balance, the user needs to post the transactions to bring the account balance to zero
  • In case the account has linked transactions, the user can delete these by backing up and running the Clear Audit Trail option. This way it removes all the fully paid, allocated and reconciled transactions up to a certain date.

Note: An account might have deleted transactions that should also be cleared. These do not appear on the record if the:

Settings > Company Preferences > Parameters > Exclude deleted transactions check box is clicked selected

How to Delete a Transaction in a Closed Year With Peachtree

With In Sage 50 Accounting, which was previously known as Peachtree Accounting or Peachtree Complete, the user can delete any transaction within a year that they have not closed. But, once the user has closed a year, you cannot delete any transactions from that year. Instead, you need to make a correcting journal entry within the current year and adjust the current year’s opening retained earnings balance as well.

  • Start by Launching Sage 50 and sign in to your system database.
  • Now, choose “Tasks,” 
  • Next, click “General Journal Entry.” 
  • Next, Select the general ledger account that needs to be adjusted.
  • Next type a description for the adjustment.
  • Now, enter the amount as either a debit or credit, according to the adjustment. For instance, if a $5,000 marketing expense was recorded in December of a year that’s closed and you need to reverse it, credit the marketing expense account for $5,000.
  • Now choose the “Retained Earnings account.
  • Next, enter the same or a similar description, and then enter the same amount as a debit if you’ve entered a credit on the line above, or a credit if you’ve entered a debit on the line above — for example, debit retained earnings for $5,000.
  • Click Select “Save,” 
  • Now click “Close.”

Delete Bank and Nominal Records

One must delete bank accounts from within the nominal ledger.
One can delete the nominal records if they have no left-over balance, no associated transactions and they have not been defined as a control account or the default cash sales bank account.

  • In case the account comprises of a balance, one must post transactions to make the account balance zero
  • In case the account has associated transactions, one can remove these by backing up and running the clear audit trail option. This permanently eliminates all the fully paid, allocated and reconciled transactions up to the specified date. An account can have deleted transactions which should also be cleared. These do not appear within the record if the :
  • Settings > Company Preferences > Parameters > Exclude deleted transactions check box is selected
  • One can not delete accounts that are defined as control accounts. Before you delete a record, check it’s not listed as a control account in Settings, then Control Accounts.
  • One can not delete a bank account if it has been defined as the default cash sales bank account for invoices and orders
  • In order to check:
    • Click Settings
    • Click Invoice and Order Defaults
    • Next click Cash Sales
    • Click Default Cash Sales Bank Account.

Delete Product Records

Product records can be cleared in case they have no left-over stock quantity, no associated transactions and are not linked with the bill of materials.

  • In case the record has a quantity in stock, one must use the stock or post an adjustment in order to make the quantity in stock zero
  • In case the record comprises of linked transactions, one can remove these by backing up and running the option.
